How to Read a Laptop Backpack Quotation Line by Line

Oct 30, 2026

Two quotes for the same 25 L laptop backpack land in your inbox a day apart. One reads USD 8.90 FOB Xiamen, the other USD 8.30. Same tech pack, same 500-unit quantity. The second is not cheaper. It covers less: no carton printing, no test report, no logo plate, and a 90-day validity that would have expired before your purchase order opened. Here is how we walk a buyer through a quote, and what to demand on the page before anyone signs.

Start With the Incoterm, Not the Number

EXW, FOB, and DDP are three different products, and the gap between them on a backpack program is routinely 8 to 15 percent of the unit price.

An EXW quote ends at our loading dock in Quanzhou. You pay inland trucking to the port, export declaration, terminal handling, and the forwarder's documentation fee. On a 500-unit order moving to a US west coast port, those items typically add USD 0.35 to 0.55 per bag before the container floats.

FOB includes the inland haul to Xiamen or another named port, export customs clearance, and loading on board. It excludes ocean freight, insurance, destination port charges, duty, and last-mile delivery. That is the normal baseline for a B2B backpack program and the term we quote by default.

DDP bundles freight and duty into one number. It looks clean and hides the most. When a supplier quotes DDP without naming the duty rate used, you cannot tell whether you are paying 6.5 percent or 17 percent inside the price, and you cannot claim the difference back later.

Check that the quote names a port, not just a term. FOB Xiamen and FOB Shanghai behave differently when your forwarder's consolidation hub sits in the other city, and a last-minute switch usually costs the buyer, not the factory.

Read the Material Lines Before the Price

The fabric line carries more price movement than any other part of a laptop backpack bill of materials, and it is the line most often written vaguely. "600D polyester" can mean a 190 gsm local weave or a 260 gsm coated fabric with a PU backing. On a 25 L bag the shell consumes roughly 1.3 to 1.5 running meters, so a difference of two grades moves the unit cost by USD 0.40 before labor is counted.

Ask for fabric with weight, composition, and coating in one line. Our quotes read like this: 600D Oxford polyester, 250 gsm, PU coated on the reverse, DWR finish on the face. If a quote only says "1680D nylon", you do not know whether the yarn is 1680D in both warp and weft or only one direction, and that difference shows up in abrasion results at 300 cycles.

The same rule applies to foam and zippers. An 8 mm EPE laptop sleeve and a 10 mm EVA sleeve are not interchangeable, and a YKK main zipper versus a generic zipper on the same bag adds roughly USD 0.30 to 0.40 per unit. We itemize zipper brand, slider type, and tape width on the quote because a claim about a failed zipper is settled by the BOM, not by memory.

Hardware is the third line to read closely. Zinc alloy buckles and adjusters run about 30 g heavier per bag than nylon equivalents on a 25 L model. A quote that leaves the material open is usually planning nylon.

The Cost Lines Buyers Skip

These lines appear on some quotes and vanish from others. Treat each as a yes or no question.

Logo tooling: a silicone patch mold or metal plate die is a one-time cost, USD 80 to 250 depending on size and process. On a reorder it should disappear entirely.

Sample fee: usually USD 60 to 150 per round, refundable under conditions that should be written down before you pay.

Test reports: SGS or equivalent on fabric and hardware, USD 150 to 400 per report set, sometimes already held by the factory for a standard fabric.

Third-party inspection: USD 250 to 350 per man-day, normally the buyer's cost but occasionally slipped into the quote as a line.

Carton printing and inner packaging: hangtag, polybag with warning text, and a printed carton add USD 0.10 to 0.25 per bag.

Barcode and retail labels: quoted per label, and a wrong label can hold cartons at a distribution center for a week.

Banking charges: a 30 percent deposit by TT carries fees at both ends, which is not zero on small orders.

Validity and FX: a quote with no validity date is not a price. Ours runs 30 days, because coated fabric and freight both move.

The first question most buyers ask when their cheap quote does not survive contact with production is where the missing money went. It is almost always in this list.

Comparing Two Quotes That Look Identical

Put both quotes against the list below and score each item as covered, excluded, or unclear. Unclear counts as a no.

Fabric grade, weight, and coating stated in full

Foam type and thickness at the laptop compartment

Zipper brand and slider type on every opening

Hardware material, zinc alloy or nylon, with finish named

Webbing width, thread spec, and stitch density on straps

Logo process, position in mm, and tooling cost listed separately

Carton quantity, dimensions, and gross weight

Carton drop test result and AQL level written into the terms

Test reports named, with whose cost

Payment terms, deposit percentage, and balance trigger

Quote validity date and currency

Warranty window and what it covers, in units and months

Run the arithmetic on landed units, not FOB. Take each quote, add the excluded items you will actually buy, add freight per unit, then divide by the same unit count. The 8.30 quote above becomes 9.05 once carton printing and a test report are added back, which reverses the ranking.

One comparison point rarely appears on paper: capacity commitment. A supplier quoting 35 days on 3,000 units while running at 85 percent line load in October is not quoting 35 days. Ask which month the lead time applies to, and ask it in writing.

What We Put on Every Tianqin Quote

Our template carries the BOM with fabric weight and coating, carton quantity and cbm, a one-time cost block, and a validity date. It also carries the AQL level and the inspection arrangement, because those two lines decide whether a cheap price is a cheap price. Quanzhou Tianqin Bags Co., Ltd has quoted OEM and ODM backpack programs for 17 years, and the template is the direct result of the disputes that came before it.

We will not quote a firm price on a coated fabric program beyond 30 days. That is a real limitation: base cloth is quoted weekly by the mill, and a supplier who locks 180 days either hedges the risk into the unit price or intends to renegotiate later. We would rather lose the order than send a price we cannot honor.

At Tianqin, our engineers also flag substitutions in writing instead of accepting a spec that will fail. A UK buyer once asked for 1680D ballistic nylon on a 22 L bag with a target FOB of USD 7.20. We showed the arithmetic, then proposed a 900D polyester with a heavier PU coat as the honest alternative, rather than quietly downgrading the shell and letting the sample look right.

Send Us the Quote You Are Comparing

If you already hold two or three quotes for the same backpack, send them to [email protected] and we will mark them line by line: what is included, what is missing, and what the landed math looks like at your volume. We can return a sample in 7 to 15 business days together with a full BOM quote, so both sides are compared on the same scope. Product lines, materials, and factory capability are on www.tianqinbag.com.
